Volunteers Keep the Swim Team Running

All ODSL swim meets are run entirely on a volunteer basis.

Each Gators family must volunteer, earning a minimum of three volunteer points throughout the season to keep our team running smoothly. There are many opportunities available. Your family can split volunteer time between spouses/adults, or you can split it with a friend. Volunteer time is tracked to be sure everyone is doing their part.

Directions for Volunteer Sign-Up (SwimTopia App):

  • Open the SwimTopia app and click on an upcoming swim meet
  • Under the Work Shifts section, click on Job Signup
  • Adults connected to your account will be displayed on the next page with a sign up icon beneath each person's name. Click Sign Up for Jobs
    • Click the checkbox next to a Job Name (descriptions below) to sign up to volunteer at the meet
  • Click Save Assignments

NOTE: If you've signed up for a volunteer slot and can no longer attend the meet, follow the same steps above and then deselect the checkbox next to the Job and click Save Assignments.

Swim Team Volunteer Roles

The positions marked with a double asterisk below are vital volunteer positions that require ODSL training and may include an online test. In return, you receive a fabulous ODSL Officials shirt and name tag!

  • Set Up (0.5 points): Assist with setting up the pool, deck area, and concessions area before home swim meets.
    • Wednesday evening set up begins at 4:00 pm
    • Saturday morning set up is held on Friday evenings at 7:45 pm
  • Take Down (0.5 points): Assist with returning the pool area to its original configuration and cleaning up debris at the end of the swim meet.
  • **Audio Coordinator (1 point): Set up, run, and take down the team's sound system for home meets. 
  • Concessions (0.5 points per shift): Responsible for running the concession stand during the meet. Volunteer sessions are divided into two shifts.
    • On Saturday mornings, concessions set up begins at 6:30 am- all other volunteers need to report by 7:15 am
    • Wednesday evenings, concessions set up starts at 4 pm - all other volunteers need to report by 5:15 pm
  • Head Timer (1 point): Using two stopwatches, starts each watch for every race. Trades out stopwatches if a lane timers watch fails for any reason. May also take over for a lane timer who needs to step away for a moment during the swim meet. Experience: MUST HAVE TIMED IN AT LEAST THREE MEETS.
  • Timer (0.5 points per shift): Uses a stopwatch to time races and record times.
  • Runner (0.5 points per shift): Picks up completed event sheets from timers and delivers them to the Computer Operator. Picks up Disqualification (DQ) slips from Stroke and Turn judges, takes them to the Referee for review/signature, and then delivers a copy to the Computer Operator and the other to the respective team's coach. This must happen within 20 minutes of each race.
  • DQ Recorder (1 point): Record swimmer names, events, and disqualification reasons as they are turned in during the meet. Coaches use this information to help swimmers improve.
  • **Head Ref (1 point): Oversees all rules and conflicts and ensures the meet is run correctly. This person conducts the meet and oversees all volunteers, parents, and swimmers. Assigns timers to lanes so that there is at least one timer from each team in each lane, reviews proper timing procedure with the timers before the start of the meet, and conducts a practice timing session.
  • **Starter (1 point): Announces and starts each race. Determines false starts and restarts races as needed. May announce the score of the meet at the end of the backstroke events and before the relay events.
  • **Stroke and Turn Judge (0.5 points per shift): Observes the swimmers' strokes and turns and disqualifies them in a fair and consistent manner.
  • **Computer Operator (1 point): Inputs swimmers/meet agenda and race results into the Meet Maestro swim team management program. Writes on the time cards the placement order for the ribbon to award points to the appropriate team.
  • Computer Assistant (1 point): Reads timecards, submitted by the Runners, to the Computer Operator.
